General Abstract Registration

Introduction

Abstract submissions are accepted only through the online submission system.  Each individual may submit only one contributed (general) abstract.  During the submission period, you may revise your abstract as many times as needed.
Please note that no new submissions or edits will be accepted after the deadline.

About Presenters

  • The first author must be a member of either the Japan Epidemiological Association (JEA) or the International Epidemiological Association (IEA) (except for invited abstracts).
  • A valid membership number is required at the time of submission. If you are not yet a member, please complete the membership application procedure in advance. For membership inquiries regarding JEA, please contact the Secretariat of the Japan Epidemiological Association.
  • If you are a JEA member and have not paid the annual membership fee for fiscal year 2025, please ensure that the payment is completed by the end of September 2025. Please note that eligibility and membership status, including the payment of annual dues, will also be verified for IEA members. Contact the JEA Secretariat.

How to Register

  • All abstracts must be submitted online via this website. Please scroll down to access the “Abstract Registration Form” at the bottom of this page.
  • To submit a new abstract, click “New Registration”. To confirm or edit a previously submitted abstract, click “Modification / Confirmation”.
  • You will be required to set a password of your choice at the time of registration.
  • After submission, an abstract registration number will be issued. You will need this number along with your chosen password to access and edit your abstract.
  • You may review or modify your abstract as many times as needed before the submission deadline.
  • You may modify or confirm your abstract as many times as you like before the deadline.
  • Please keep your registration number and password in a safe place, as they are necessary for future access.
  • An automatic confirmation email will be sent to you once your abstract has been successfully submitted. If you do not receive this email, please contact the Management Office (contact information is provided at the bottom of this page).

*After the submission deadline, you will no longer be able to submit, modify, or access your abstract.
*If your registered e-mail address is a free e-mail address (Yahoo, gmail, hotmail, etc.), the e-mail may be sorted into the junk mail folder. Please check your junk mail folder if you do not receive an email.
*Please note that server traffic is expected to increase significantly just before the deadline. We strongly recommend submitting your abstract well in advance to avoid delays.

Presentation format

  • Only on-site (in-person) presentations will be accepted.
  • Two types of presentation formats are available for the General Session:
    – Oral presentation
    – Poster presentation
  • The final presentation format will be determined by the conference organizers and may differ from your preference.

Language of Presentation

  • All presentations must be conducted in English, including the abstract, presentation slides, and poster content.
  • Please ensure that your abstract and all presentation materials are prepared in English.
  • No Japanese-language sessions will be held.
  • Please note that the General Assembly of the Japan Epidemiological Association (JEA) will be conducted in Japanese.

Ethical Review

Ethical Review Policy
This Joint Conference follows the ethical standards established by the Japan Epidemiological Association (JEA), which requires all research involving human subjects to undergo appropriate ethical review. Researchers must ensure that their studies comply with relevant ethical guidelines based on the location of the research:
Confirmation at the Time of Abstract Submission
At the time of abstract submission, you must declare the status of ethical review for your research. If your study requires ethical review and has not been approved, your abstract will not be accepted. If ethical review is required, you must provide:
  • The name of the ethics review committee
  • Date of approval
  • Approval number

It is the responsibility of the submitting author to determine whether ethical review is necessary. If unsure, please consult the ethics review board of your affiliated institution. The conference organizers and JEA will not make this determination on your behalf.

Selection in the Submission System
Please choose one of the following options on the abstract submission form:
  • Approved (enter committee name, date, and approval number)
  • Not applicable (ethical review is not required for this research)

Conflict of Interest

Conflict of Interest (COI) Disclosure
The first author, on behalf of all co-authors, must disclose any financial relationships with companies or commercial organizations related to the submitted epidemiological study that occurred within the three years prior to the date of abstract submission. This conference follows the policies of the Japan Epidemiological Association (JEA) and the International Epidemiological Association (IEA) regarding conflicts of interest.

 Declaration Requirements

  • The first author must submit a COI declaration.
  • Co-authors are not required to submit a form if they have no COI to declare.
  • If any co-author has a COI, please compile all COI self-reports (including the first author’s) into a single PDF file. We recommend preparing the COI self-report PDF in advance to facilitate the abstract submission process.

Submission Procedure

At the Time of Presentation
At the Annual Meeting:

  • If you have a conflict of interest, please include a COI disclosure statement on your presentation slides and/or poster, following the JEA “Form 1” format.
  • If you do not have a conflict of interest, please clearly indicate “No conflict of interest” on your slides and/or poster.

Abstract Acceptance Notification

All submitted abstracts will undergo peer review.
 Notification of acceptance or rejection will be sent in mid-October.
 For accepted abstracts, details regarding presentation format, schedule, and other instructions will be provided in October.
